The Challenge
Gypco operates multiple branches across Kerala. Despite strong revenue, the owner had no consolidated view of financial performance. Each branch operated independently, with no unified reporting. The owner was flying blind - unable to identify which branches were profitable, which were draining resources, or where operational inefficiencies were concentrated.
What We Found
The Diagnostic Phase revealed:
- No consolidated P&L across branches - each branch reported separately and inconsistently
- No operational dashboard - daily/weekly performance data was not tracked
- Founder involvement in branch management decisions - branches escalated operational questions directly to the owner
What We Built
Over a 12-week Transformation Phase, we installed:
- Zoho Books Implementation: Structured chart of accounts, branch segmentation, and consistent categorisation across all locations
- Consolidated Dashboard: Real-time P&L by branch, cost-per-branch analysis, and variance tracking against targets
- Branch Management Framework: Operating procedures and authority levels for branch managers, reducing founder escalations
The Result
All branches are now under one reporting system. The owner can see the full financial picture in 10 minutes each morning. Founder stepped back from daily operations within 2 months of handover.
